1. General information and acceptance
These Terms and Conditions (hereinafter, "Terms") govern access to and use of the sports management platform Sphaira Tech (hereinafter, "the Platform" or "the Service"), accessible via sphairatech.com and mobile applications available on the App Store and Google Play.
The Platform is owned by Alejandro Espinosa López, Tax ID 48649484E, address: Calle Federico García Lorca 3, 30009, Murcia, Spain. Contact email: info@sphairatech.com.
Accessing and using the Platform implies full and unreserved acceptance of these Terms. If you disagree with any of the conditions set out herein, please do not use the Platform.
2. Definitions
- Platform: The set of Sphaira Tech web and mobile applications for sports management.
- User: Any individual who accesses or uses the Platform, including administrators, coaches, players and family members/guardians.
- Client/Club: The sports entity (club, academy, association) that subscribes to the Service and manages its space within the Platform.
- Administrator: The user designated by the Club with full management permissions within their organisation.
- Plan: The contracted service level (Free, Club or Family).
- User Content: All information, data, images, videos and documents entered by users into the Platform.
3. Description of the Service
Sphaira Tech offers a comprehensive sports management platform enabling clubs and sports entities to:
- Manage players, teams, coaches and staff.
- Administer sports and medical documentation.
- Collect membership fees and process payments through the Platform.
- Communicate with families, players and technical staff.
- Plan training sessions, squad announcements and sports calendars.
- Analyse statistics and athletic performance.
- Manage sponsors and brand visibility.
- Use artificial intelligence tools for analysis and queries.
- Carry out scouting and player assessment.
- Store and analyse sports video.
Available features depend on the Plan contracted by the Club.
4. Registration and user accounts
4.1. Registration requirements
Using the Platform requires creating an account by providing truthful, complete and up-to-date data. The user undertakes to keep their data current and is responsible for the accuracy of the information provided.
4.2. Minors
Users under 18 may not register on the Platform. Parents or legal guardians always register and enter minors' data in the context of the Club's sports activity. Minors' data receives enhanced protection and is managed exclusively by the Club and designated parents/guardians, in accordance with our Privacy Policy.
4.3. Account security
The user is responsible for maintaining the confidentiality of their access credentials. Any activity carried out from their account will be considered to have been performed by the account holder. In the event of unauthorised access, the user must notify info@sphairatech.com immediately.
5. Plans and pricing
5.1. Available plans
Sphaira Tech offers the following plans:
- Free Plan: At no cost to the club. Includes basic management of players, teams, coaches and fee collection. A commission of 3% + €0.25 per processed transaction applies.
- Club Plan: €5 per player per year, paid by the club. Includes all Platform features without restrictions.
- Family Plan: Parents or guardians pay €2.99/month or €29.99/year per enrolled child. The club receives €1 for each monthly payment or €10 for each annual payment made by families.
5.2. Prices and taxes
All prices are shown in euros (€) and include applicable VAT unless otherwise stated. Sphaira Tech reserves the right to modify prices, notifying clients at least 30 days in advance.
5.3. Billing and payments
Payments are processed through secure payment gateways (Stripe or other PCI-DSS certified providers). Charges are made on a recurring basis according to the contracted plan's billing period. The club or user will receive a receipt for each transaction.
5.4. Non-payment and suspension
In the event of non-payment, Sphaira Tech may temporarily suspend access to the paid features of the relevant plan. The club administrator will be notified in advance. Club data will be retained for a reasonable period to allow payment to be regularised.
6. Conditions of use
6.1. Permitted use
The Platform must be used exclusively for purposes related to legitimate sports management. The user undertakes to:
- Use the Platform lawfully and in accordance with these Terms.
- Not introduce unlawful, offensive, discriminatory or rights-infringing content.
- Not attempt to access other clubs' or organisations' data without authorisation.
- Not reverse-engineer, decompile or extract the Platform's source code.
- Not use the Platform to send unsolicited communications (spam).
- Respect the privacy and personal data of other users.
6.2. Prohibited use
The following is expressly prohibited:
- Using bots, scrapers or automated tools to extract data.
- Sharing access credentials with unauthorised third parties.
- Intentionally overloading the Platform's infrastructure.
- Using the Platform for illegal or fraudulent activities.
- Breaching or attempting to breach the Platform's security measures.
7. Intellectual property
7.1. Sphaira Tech ownership
All intellectual and industrial property rights over the Platform, including source code, design, logos, trademarks, texts, graphics, artificial intelligence algorithms and structured databases, are the exclusive property of Sphaira Tech or its licensors.
Reproduction, distribution, public communication or total or partial transformation of these elements without express written authorisation from Sphaira Tech is prohibited.
7.2. User content
The user retains ownership of all content they enter into the Platform. By using the Service, the user grants Sphaira Tech a limited, non-exclusive and revocable licence to store, process and display such content solely for the purpose of providing the contracted Service.
Sphaira Tech will not use user content for advertising purposes nor share it with third parties, except as necessary to provide the Service (e.g. payment gateways) or as required by law.
8. Artificial intelligence and data processing
The Platform incorporates AI-based features that process club data to provide analysis, responses and suggestions. Regarding these features:
- Data sent to external AI services is pseudonymised beforehand, replacing names, medical data and other identifying information with artificial tokens.
- AI providers (such as OpenAI) do not store or use the data sent to train their models.
- AI-generated responses are indicative and do not replace the professional judgement of club staff.
- Sphaira Tech does not guarantee the absolute accuracy of AI-generated responses.

9. Availability and maintenance
Sphaira Tech strives to keep the Platform operational 24 hours a day, 7 days a week. However, it does not guarantee uninterrupted Service availability and may carry out scheduled or emergency maintenance.
In the event of scheduled maintenance, club administrators will be notified with reasonable advance notice. Sphaira Tech shall not be liable for damages arising from temporary Service interruptions.
10. Limitation of liability
To the maximum extent permitted by applicable law:
- Sphaira Tech shall not be liable for indirect, incidental, special or consequential damages arising from the use of or inability to use the Platform.
- Sphaira Tech's total liability to the Club for any claim shall not exceed the total amount paid by the Club in the 12 months preceding the event giving rise to the claim.
- Sphaira Tech is not responsible for the accuracy of data entered by users or decisions made based on information provided by the Platform.
- The Club is responsible for obtaining the necessary consents from its members (players, parents/guardians, coaches) for the use of the Platform.
11. Data protection
The processing of personal data is governed by our Privacy Policy, which forms an integral part of these Terms. Sphaira Tech acts as data processor in relation to club data, and the Club acts as data controller.
Both parties undertake to comply with the General Data Protection Regulation (GDPR) and the Spanish Organic Law 3/2018 on Data Protection (LOPDGDD), with particular attention to the processing of minors' data and health data.
12. Cancellation and termination
12.1. Cancellation by the client
The Club may cancel its subscription at any time. There are no minimum commitment periods or early cancellation penalties. Cancellation will take effect at the end of the current billing period.
12.2. Data export
Before cancellation, the Club may request the export of its data in a standard, readable format (CSV, PDF). Sphaira Tech will facilitate the data download within a reasonable period.
12.3. Post-cancellation data deletion
After cancellation, Sphaira Tech will retain the Club's data for 90 days in case the Club wishes to reactivate the service. After that period, data will be permanently deleted, unless there is a legal obligation to retain it.
12.4. Termination for breach
Sphaira Tech may suspend or terminate access for a Club or user that breaches these Terms, after prior notice and granting a reasonable period to remedy the breach, except in cases of serious infringement requiring immediate action.
13. Consumer rights and withdrawal
In accordance with consumer protection regulations, users acting as consumers have a 14-calendar-day right of withdrawal from the date of subscribing to a paid plan, without the need for justification. To exercise this right, simply notify info@sphairatech.com.
The refund will be made using the same payment method used for the original transaction, within a maximum of 14 days from the withdrawal notification.
14. Amendments to the Terms
Sphaira Tech reserves the right to amend these Terms. Substantial amendments will be notified to users at least 30 days in advance via the Platform and/or by email.
Continued use of the Platform after amendments take effect constitutes acceptance of the new Terms. If the user disagrees, they may cancel their account without penalty.
15. Applicable law and jurisdiction
These Terms are governed by Spanish law. For the resolution of any dispute arising from these Terms, the parties submit to the Courts and Tribunals of Murcia, Spain, without prejudice to the mandatory jurisdictions applicable to consumers under applicable law.
In accordance with Regulation (EU) 524/2013, we inform you that the European Commission offers an online dispute resolution platform at: https://ec.europa.eu/consumers/odr.
Users outside the European Union: If you access the Platform from a country outside the EU, these Terms remain governed by Spanish law, unless the mandatory legislation of your country of residence grants you additional rights that cannot be contractually excluded. In such cases, those rights shall prevail to the extent legally required. For consumer claims from outside the EU, we offer amicable resolution by email at info@sphairatech.com as an alternative before resorting to legal proceedings.
